The client

About the client

Brigham Young University is one of the largest private universities in the United States, managing inventory and rental assets across many departments, a scale at which spreadsheets and disconnected records stop working.

The challenge

The Challenge

A modern campus with gaps its systems could not cover
Legacy PeopleSoft system with limited functionality
Critical Workday gaps for inventory & rental
No asset tracking and disconnected financial/procurement systems
Objectives
01Fill the gaps: Inventory and rental capability Workday lacks
02Track everything: Every asset visible, campus-wide
03Stay integrated: Real-time sync with Workday, not batch files
04One view: Centralised reporting across departments
The solution

PREXA365 where Workday stops

Alphavima implemented PREXA365, our rental and asset accelerator built on Microsoft Dynamics 365, as the campus-wide inventory and rental platform. Departments manage equipment, checkouts and returns in one system with real-time availability. A real-time Workday integration keeps finance and procurement synchronised automatically, so the ERP gaps closed without duplicating data entry. Asset tracking and centralised reporting give the university, for the first time, one consolidated view of what it owns, where it is and how it is used.

FAQ

Questions about projects like this

What is PREXA365?

PREXA365 is Alphavima’s rental and asset accelerator built on Microsoft Dynamics 365: inventory, rental operations, tracking and billing patterns preconfigured for fast rollout.

Does it replace Workday?

No. It complements Workday, covering the inventory and rental capability Workday lacks and integrating with it in real time.

Can other universities use this pattern?

Yes. The campus pattern, departmental rollout with central visibility, transfers directly, and PREXA365 also serves commercial equipment rental businesses.

How do departments adopt it?

Phased, department by department, with availability and checkout workflows that mirror how staff already work.
