The client

About the client

A multi-specialty healthcare provider running clinics across several departments. The clinical record was solid; everything around it, scheduling, referrals and follow-up, lived wherever it had grown up.

The challenge

Every department knew the patient, none knew the whole patient

Clinical systems held the chart, but the relationship lived everywhere else: scheduling in one tool, referrals on fax and follow-up in spreadsheets. Staff re-assembled patient context call by call, reminders were manual so no-shows stayed high, and a referral could vanish between two departments that sat one floor apart.

Patient engagement scattered across disconnected tools
Manual reminders and persistently high no-show rates
Referrals tracked by fax, memory and goodwill
No single view of the patient relationship
Objectives
01Every interaction, appointment and referral in one record
02Automated multi-channel reminders and confirmations
03End-to-end referral tracking with owners and status
04Departments working from the same relationship record
The solution

PulseNet365: the relationship layer around the clinical record

Alphavima implemented PulseNet365, our healthcare accelerator built on Dynamics 365, as the engagement layer alongside the existing clinical systems. Every patient interaction, appointment, preference and referral now lives in one coordinated record with role-appropriate access.

Power Automate carries the routine load: reminders and confirmations flow by text and email, referrals route to named owners with status tracking, and follow-ups schedule themselves. Care teams open one screen and see the whole relationship in seconds, which is exactly what patients assume was always the case.

FAQ

Questions about projects like this

What is PulseNet365?

PulseNet365 is Alphavima’s healthcare accelerator built on Dynamics 365: patient engagement, scheduling, reminders and referral coordination preconfigured for healthcare providers.

Does it replace our EHR or clinical systems?

No. It complements them as the relationship and coordination layer, integrating rather than replacing the clinical record.

How is patient privacy handled?

Access is role-based, consent is modelled in the record, and the platform inherits Microsoft’s healthcare compliance posture. Privacy design is phase one, not an afterthought.

How quickly do no-shows improve?

Automated reminders typically move no-show rates within the first scheduling cycles; the exact curve depends on your channels and patient mix.
